Bytewise Mail collects minimum necessary data to provide internal email services. This includes:
- Account information (Name, Employee ID, Corporate Alias).
- Authentication logs (Login times, IP addresses).
- Email content and metadata transmitted through the platform.
2. Use of Information
The information collected is used strictly for:
- Facilitating corporate communication.
- Ensuring account security and preventing unauthorized access.
- Auditing mail activity for administrative and compliance purposes.
3. Data Storage and Security
We employ industry-standard security measures to protect your data. All email data is stored in secured MongoDB databases, and communication is encrypted via SSL/TLS protocols. Access to the administration panel is restricted to authorized personnel only.
4. Third-Party Services
Bytewise Mail integrates with external mail servers (IMAP/SMTP) to route and sync communications. These third-party providers (e.g., GoDaddy/Secureserver) have their own privacy policies regarding data handling. We do not sell or share your information with external marketing entities.
5. AI Smart Compose Feature
What is Smart Compose?
BytewiseMail includes an AI-powered Smart Compose feature that provides real-time writing suggestions as you compose emails. This feature uses artificial intelligence to predict and suggest the next few words you might want to write, enhancing your productivity and writing efficiency.
How It Works
- Real-time Suggestions: As you type, the system analyzes your current text and provides contextual suggestions
- Automatic Display: Suggestions appear automatically as a notification after your cursor
- Manual Acceptance: Suggestions are only added to your email when you press the Tab key to accept them
- Context Awareness: The AI considers your email subject, recipients, and any previous messages in the thread
Data Processing & Privacy
- Temporary Processing: Your draft text is sent to our AI service provider (Google Gemini) in real-time for suggestion generation
- No Permanent Storage: Draft text sent for suggestions is not stored or used for training AI models
- Encrypted Transmission: All data is transmitted over secure SSL/TLS connections
- Limited Context: Only the current email content, subject, and thread context are sent—never your entire mailbox
- No Third-Party Sharing: Suggestion data is processed solely for providing autocomplete functionality
- Immediate Deletion: Data is automatically processed and not retained by the AI provider
Your Privacy Controls
- Opt-Out Available: You can disable Smart Compose in Settings → Compose → Smart Compose toggle
- Session-Based: Suggestions are generated per session and not tracked across emails
- No User Profiling: We do not build user profiles based on your writing patterns
Your Rights
You have the right to:
- Disable Smart Compose at any time in your account settings
- Request information about how your data is processed
- File a complaint if you believe your data privacy has been violated

6. Data Retention
Corporate email data is retained for as long as your account is active or as required by law and Bytewise Consulting LLP's internal data retention policies. Deleted emails may persist in secure backups for a limited period.
